Roots Wood (“we”) explains here how we handle personal data in Roots Wood Machinery, our connector for Muse, Meta’s AI agent, and its information pages (the “Service”). The sign-in pages and endpoints of our Muse connector are served from rootswood-mcp.toolmaker2001.uk, on a domain we own and operate for global trade, and are part of the Service.
This policy applies to Roots Wood Machinery. For the rest of our website, see our general privacy policy. Where the two differ, this policy applies to the Service.
1. Data we collect
We collect only what we need to provide the Service:
- Contact details: name, company, email, phone number, country or region
- Request details: machine models and conditions you are looking for, quote and sourcing request details, preferred meeting times
- Authentication data: the user identifier and access tokens issued when you connect (stored hashed or encrypted)
- Usage records: type of operation, time, error information, IP address
We do not collect passwords, credit card numbers, or bank account numbers.
2. How we use data
- To provide catalog search, estimates, sourcing requests, quotes, and meeting booking
- To respond to your requests
- To prevent abuse, investigate failures, and keep the Service secure
- To comply with legal obligations
We do not use data for any other purpose.
3. Muse connector
- We receive only the data needed to fulfill the request you make through Muse.
- We do not sell your data, use it for unrelated advertising, use it to build unrelated profiles, use it to infer sensitive characteristics, or use it to train AI models.
- We and Meta each act as independent controllers. Meta’s handling of data in Muse is governed by Meta’s privacy policy.
- When you disconnect the Service in Muse, we stop access immediately.
4. Sharing
We share personal data only when needed to carry out your request (for example, giving your name and delivery address to a freight forwarder you asked us to arrange), with your consent, or when required by law.
When we source an item, we give suppliers the machine details only, not your name or contact details.
5. Service providers and international storage
We use the following providers, and data may be stored outside Japan:
- Cloudflare, Inc., United States
- Star Server (Japan)
6. Retention and deletion
- Sourcing request and quote data: 2 years from our last contact
- Usage records: 90 days
- Data we must keep by law: for the required period
When you disconnect or ask us to delete your data, we delete it within 30 days, except data we must keep by law.
7. Security
We encrypt data in transit and at rest, isolate each user’s data, and apply least-privilege access. We do not write credentials or personal data to logs. We respond to incidents in line with applicable law.
8. Your rights
You may ask us to access, correct, stop using, or delete your personal data. Contact us below; we will verify your identity and respond.
9. Age
The Service is for businesses and people aged 18 or over.
10. Changes
We post changes on this page with a new “Last updated” date.
